Visa CRM (“we”) provides a visa consultancy CRM. This policy explains what information the CRM stores and how it is used.

Information we store

• Account details of staff users, such as name, email, phone, and role.
• Lead, customer, and visa application details that your team enters, including name, phone, email, visa type, destination, notes, and follow-ups.
• WhatsApp messages, contacts, and templates when a WhatsApp Business number is connected.
• Google account name, email, and ad-account details when Google Ads is connected, plus lead-form submissions imported from that account.

How we use it

The information is used to manage enquiries, assign work, send WhatsApp messages you request, import Google Ads leads, and show reports for this company. Staff can see only the records their role allows.

Sharing

We do not sell personal information. Data is sent to Meta only when you send a WhatsApp message or submit a template, and to Google only when you connect Google Ads or sync leads. Hosting and database providers process the data so the CRM can run.

Retention

Records stay in the CRM until an administrator deletes or archives them. Disconnecting Google removes the stored Google sign-in tokens. Leads already imported remain unless you delete them.

Security

Access is limited to signed-in users. Google and WhatsApp tokens are stored encrypted. You should use a strong password and sign out on shared computers.

Your choices

You may ask an administrator to correct or delete lead and customer records. Disconnect Google Ads or WhatsApp from the settings pages to stop those connections.
